RecurBook (“RecurBook”, “we”) is online booking software for recurring-service businesses. This policy explains what we collect, why, and what your choices are. Questions any time: support@recurbook.com.
The two kinds of people we handle data for
Business owners create a RecurBook account and run their bookings through it. Their clientsbook visits through an owner’s public booking page — clients never create accounts with us. Client details belong to the business that collected them; we process that information on the business’s behalf to provide the service, and we never use it for anything else.
What we collect
Owner accounts: your name, email address, and business profile (business name, booking link, hours, services, timezone, optional logo). Sign-in is by email magic link — we never store passwords.
Booking details:what a client (or the owner, on their behalf) enters when booking — name, email, phone, service address, and any access notes such as gate codes, parking, or pet information, plus the visit schedule itself. These exist so the business can show up prepared; they appear only on the owner’s dashboard and in the emails both sides receive.
Billing: subscriptions are processed by Stripe. Card numbers go directly to Stripe and never touch our servers; we store only your subscription status and a Stripe customer reference. No card is collected during the free trial.
Usage analytics: we use PostHog in cookieless mode to understand product usage (pages visited, steps completed). On the public booking flow we additionally use limited session replay to fix usability problems — with all typed input masked, so names, addresses, and access notes are never captured in a replay. We do not run ads and we do not sell or share data for advertising.
Errors: we use Sentry for error monitoring, configured to scrub personal details from error reports.
Google user data
If a business owner chooses to connect Google Calendar, we request access to calendar events for one purpose: creating an event for each booked visit and removing it if the visit is canceled. We store the Google token needed for this encrypted at rest, and we do not read, analyze, or share your calendar contents. Disconnecting Google Calendar in Settings revokes our access and deletes the stored token.
RecurBook’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is never used for advertising, never sold, and never read by a human except with your explicit consent, for security purposes, or where required by law.
Who we share data with
Only the processors needed to run the service, and each receives only what its job requires: Stripe (billing), Resend (transactional email — confirmations, reminders, the evening digest, sign-in links), Vercel (hosting), Neon (database), PostHog (analytics), and Sentry (error monitoring). Our infrastructure runs in the United States. We do not sell personal information, and we do not share it with advertisers or data brokers.
Cookies
One essential cookie keeps business owners signed in. That’s it — no advertising or cross-site tracking cookies, and our analytics run cookieless. Clients booking a visit get no cookies at all beyond what’s technically required to serve the page.
Retention & deletion
We keep your data while your account exists so that canceling a subscription never destroys your business records — if you cancel, your data stays intact and your account reactivates any time. To request a copy of your data, or to permanently delete your account and its data, email support@recurbook.comand we’ll confirm completion. Clients who want their details corrected or removed can contact the business they booked with, or email us directly.
Security
All traffic is encrypted in transit (HTTPS). Google tokens are encrypted at rest. Client manage-links and calendar feeds use long random tokens that are never guessable or enumerable. Access to production systems is limited to the operator of RecurBook.
Children
RecurBook is a business tool and is not directed at children under 13, and we do not knowingly collect their information.
Changes
If this policy changes materially, we’ll note the new date at the top and, for significant changes, email account owners. Continued use after a change means acceptance.
